Personal data means information relating to an identified or identifiable individual. It does not include information that has been anonymised so that an individual can no longer be identified.
Depending on your relationship with Warmur Academy, we may collect and process the following categories of personal data:
We do not ordinarily request special categories of personal data, such as health information, or information about criminal convictions. If such information is required for a specific purpose, we will explain how it will be handled.
Certain information is necessary to register for a course, process a booking, provide access to learning materials, administer assessments or issue qualifications.
If you do not provide the required information, we may be unable to provide the relevant service.
Providing information for marketing communications or choosing to appear on the Warmur Pro Map is optional.
We collect personal data through the following methods:

Third parties
We may receive relevant information from service providers supporting course bookings, payments and online learning.
Where necessary to verify Warmur Pro eligibility, we may also check professional registration information through relevant public registers or certification bodies.
We will only process personal data where we have a lawful basis under applicable data protection law.
Depending on the purpose, this may include:
The purposes and applicable lawful bases are described below.
Where we rely on legitimate interests, we consider the necessity of the processing and its potential impact on individuals.
We use Mailchimp to manage newsletter subscriptions, resource registrations and marketing communications.
These may include information about our courses, new learning resources, events and other Warmur Academy services.
We send electronic marketing communications where we have your consent or where another applicable permission under the Privacy and Electronic Communications Regulations (PECR) allows us to do so, including the existing-customer soft opt-in where its conditions are satisfied.
Marketing preferences are separate from course enrolment and Warmur Pro Map participation.
You can unsubscribe at any time using the link included in our marketing emails or by contacting hello@warmuracademy.co.uk.
Unsubscribing from marketing does not affect essential communications relating to your bookings, course access, assessments, qualifications or other services you have requested.
We may retain limited information necessary to record your unsubscribe preference and ensure that you do not receive further marketing communications contrary to that preference.
We process information about your participation in training, learning progress, assessment results and qualifications.
This information enables us to administer courses, provide feedback, confirm achievement and maintain records of qualifications awarded.
Where you choose to undertake the Low Temperature Heating and Hot Water Systems qualification, relevant learner and assessment information may be shared with the organisations responsible for the qualification or its administration, where necessary.
Records of course achievement may be retained after your access to the course has ended, where reasonably necessary to verify qualifications, address enquiries or meet applicable requirements.
Warmur Pro recognises eligible practising heating engineers who have completed Hydronics Unlocked, opted into the Low Temperature Heating and Hot Water Systems qualification and passed the final assessment.
We use relevant course records, business details and professional registration information to assess eligibility and administer Warmur Pro recognition.
Warmur Pro recognition and participation in the Warmur Pro Map are separate.
Eligible engineers may receive Warmur Pro recognition and use the badge without choosing to have their business publicly listed.
Businesses that opt into the Warmur Pro Map are asked to confirm and approve their listing details before publication.
These may include:
We do not publish identity verification documents, full residential addresses or professional registration numbers as part of a standard listing.
The Warmur Pro Map is administered by Warmur Academy and made available through warmur.co.uk and theheatinghub.co.uk.
Listings are publicly accessible and may be indexed by search engines.
Businesses can request changes to or removal of their listings at any time by contacting hello@warmuracademy.co.uk.
Where consent is the lawful basis for publishing personal data, it may be withdrawn at any time. We will remove the relevant public listing as soon as reasonably practicable. Information previously indexed or copied by third parties may remain temporarily accessible outside our control.
Using the map as a homeowner
The Warmur Pro Map enables visitors to find participating heating businesses and contact them directly through their own websites or nominated contact channels.
Warmur Academy does not collect or retain the contents of heating enquiries made directly to those businesses through the Map.
Use of the Map may still involve the processing of Technical Data and Usage Data, as described in this Privacy Notice and our Cookie Policy.
We may share personal data with trusted third parties where necessary for the purposes described in this notice.
These may include:
Where third parties process personal data on our behalf, we require appropriate contractual and security protections.
We do not sell personal data to third parties.
We do not share your contact information with unrelated organisations for their own marketing without an appropriate lawful basis.
Some of the third-party services we use operate outside the United Kingdom.
For example, Mailchimp processes personal data in the United States and other locations.
Where personal data is transferred internationally, we take steps to ensure that the transfer complies with applicable UK data protection law.
Depending on the destination and provider, this may involve applicable UK adequacy regulations, including the UK Extension to the EU-US Data Privacy Framework where relevant, or appropriate contractual safeguards such as the UK International Data Transfer Addendum.
You may contact us at hello@warmuracademy.co.uk for further information about the safeguards applicable to international transfers of your personal data.

These may include technologies used by Google Analytics and YouTube.
Where required by law, we obtain consent before activating non-essential cookies or similar technologies.
For details of the technologies used and how to manage your preferences, please refer to our Cookie Policy.
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure.
Access to personal data is restricted to employees, contractors and service providers who have a legitimate need to use it for authorised purposes.
We maintain procedures for responding to suspected personal data breaches and will notify affected individuals and the relevant regulator where legally required.
We retain personal data only for as long as necessary for the purposes for which it was collected, including to fulfil contractual obligations, maintain appropriate course and qualification records, and comply with legal, accounting or reporting requirements.
In determining retention periods, we consider the nature and sensitivity of the information, the reason it is required, any applicable legal or qualification requirements, and whether the purpose can be achieved without retaining identifiable information.
In particular:
We regularly review the personal data we hold and delete or anonymise information that is no longer required, subject to applicable legal obligations.
We will ordinarily use personal data only for the purposes for which it was collected.
If we need to use it for another purpose, we will consider whether that purpose is compatible with the original purpose and whether further information or a different lawful basis is required.
Where applicable, we will notify you before processing personal data for a new purpose.
Under UK data protection law, you may have the following rights, depending on the circumstances:
You have the right to object to the use of your personal data for direct marketing at any time.
Withdrawing consent does not affect the lawfulness of processing carried out before consent was withdrawn.
These rights are not absolute and may be subject to legal exceptions.
You will not usually have to pay a fee to exercise your data protection rights.
We may charge a reasonable fee or refuse to comply where a request is manifestly unfounded or excessive, as permitted by law.
We may request information necessary to verify your identity before responding to a request. This helps ensure that personal data is not disclosed to someone who is not entitled to receive it.
We will respond to requests within the timescales required by applicable data protection law.
Where permitted, additional time may be needed for complex requests. We will inform you if an extension applies.
We may update this Privacy Notice to reflect changes to our services, business practices or legal requirements.
The latest version will be available on our website.
